Open Door Policy

We feel that parents have the right to drop by the program or join a field trip, and to ask questions and offer suggestions. Should you wish to speak with one of the teachers at any time simply just request a meeting and we will do our best to accommodate you as quickly as possible.  We want you to feel welcome.  Please feel free to talk to your Child Care Staff.  We are committed to making your child’s Out of School Care experience as positive as it can be, not just for your child, but for your family.  We would like to extend to you and your child a warm welcome to C&S Child Care Inc.  We are happy to have you!

Attendance Policy

Should your child be away please contact the centre to inform the staff of their absence, and also their projected return date. Should your child be absent for more than 2 weeks with no verbal notice or contact given to the centre, we will assume that you have chosen to withdraw from the program, and therefore your space will be given away. You will also be charged that month’s fee.

Registration Policy

Registration for the new school year begins in Late January each year.  We allow our current families to apply for re-registration and then open up registration to the general public in the middle of February.

Once we announce re-registration for the following September, then our current families will submit their request for care by the set forth due date. We will process all requests and submit acceptance emails to those families whom we have granted space too. Full time care will take precedent and we work backwards from there.

***Please note that just because you have a placement this year, does not guarantee you will have a placement the following year, as children age out, siblings join us, and families needs change. ***

Upon receiving your acceptance email you will have approximately 10 days to submit your Payment Agreement Document (PAD) as well as an EFT Form.  Your $75 non-refundable registration fee will be debited from your account as agreed upon in your acceptance letter. Payments start in September and are processed on the first of each month up too, and including, June. Should you decide to withdraw or make any changes outside of your agreement before the start of the new school year, you will have until May 1st to submit your request. After such date, your September 1 payment becomes non-refundable (Program deposit). Changes made between June 1 and August 31, will not take effect until October 1.  Your placement is not confirmed until all payment information has been received, if you do not submit payment details within the 10 days then you forfeit your placement and it will be given to the next person in line.

Doors open at 7am and children are expected to be picked up no later than 5:50pm

*** Please note that the School Board requires staff to be out of the building by 6:00 pm.

C&S Child Care will follow the school calendar of the Delta School District.  Therefore, our first day back in September will be the first Tuesday after Labour Day.  Our Last day with the daycare children will be the same last day in June that the children finish classes.  The remaining days in June will be utilized by staff to clean and close up the centre for the summer.

We are closed during ALL Statutory Holidays, including Easter Monday. We are closed from Dec 25th until Jan 1st. Summer enrolment will be yearly dependant.

C&S Child Care will offer Full Day Child Care services during Winter Break (not including the Dec 25th to Jan 1st closure), and Spring Break – pending enrolment.

School Closure Due to Severe Weather Conditions, Natural Disasters or a Global Pandemic.

In the event of severe weather conditions, C&S child care will follow the lead of the Delta School District. If the public schools are closed, C&S child care will be closed. Parents are advised to check with CKNW 980 am or www.cknw.com or www.news1130.com to see if the schools are closed. Please also review our Pandemic Policy located on the main page of our website.

Arrival and Departure

Parents are expected to sign their child in and out of Out of School Care every day and to let us know who will be picking up the child at the end of the day.

We will not release a child to a person that we feel is unsafe or unfit to be transporting your child. If you have called ahead of time to inform us of someone else picking up your child that we are unfamiliar with, please advise them to bring along identification.

We ask that the children are picked up no later than 5:45 pm to allow staff enough time to tidy up and finalize the closing duties in order to be out of the centre @ 6:00 pm.It is often hard for a child to wait when all the other children have left.

In the event that we are expecting your child and they do not show up, we will attempt to call you.  Failure to reach the parent may result in a call to the police.

If your child will not be attending the before or after school care, you must inform the program staff.  Informing the school of a child’s absence is not good enough as the school does not always communicate with the program.  Please ensure that you reach a staff member.  Any communication by text or e-mail must be acknowledged by program staff so that you know your message has been received.  Telephone calls are preferred.

Late fees will be charged at a rate of $10.00 per each 15 minutes if you are late picking up your child.  If you cannot make it by 5:50 pm, then please make alternative arrangements.  Please make sure you call program staff so we can help make arrangements if appropriate and possible.  Please note that 6 pm is the time that the facility is locked, so please give yourself enough time to gather your child’s belongings.  Your cooperation is appreciated.

FEES & Payment Policy

Daycare fees are based on the yearly program and are divided into ten monthly payments.  The first payment is due September 1st. We are unable to reduce fees for absences due to illness (child or staff), vacation, natural disasters, or global pandemic.  Your monthly fee guarantees that your child retains his or her spot in the program.

Fee Schedule  

Each child must pay a $75.00 non-refundable registration fee in addition to their monthly payments. (This also applies for returning families)

Fees are due the first of each month starting in September and running through June.  Your September payment becomes Non-refundable as of May 1st prior to the start of that school year.  If you need to withdraw your child for some reason, please see our withdrawal form located below.

If you are registering part-way through the school year then you will be expected to pay the $75 Non-refundable registration fee, and your first month will be prorated at $30 per day. Monthly fees will commence on the 1st of the following month.

If a payment is returned NSF you will be charged a $25.00 NSF Fee and you will have 7 days to pay the NSF fee plus your monthly fee. Failure to do so may result in the withdrawal of your child.

Parents must give 1 month’s written notice, prior to the first of the month in which you wish to withdrawal.  To withdrawal or make changes to their child’s care in our program(s), please inform us 30 days or more prior to the first of the month in which you wish to withdrawal. This includes a request to lower number of days in which your child attends C&S Child Care Inc. You must print and submit a withdrawal form, located here. No withdrawals or changes to care, accepted after May 1st.  If you withdraw your child after May 1st, your June fee will still process as you did not meet the agreement as noted above.

** If a field trip is planned during a Pro D Day or during one of the school breaks, payment will be due the day of the field trip.  Field trip payments MUST accompany your child at drop-off the day of the field trip. If a field trip payment has not been received then your child will not be able to participate in such field trip, and a phone call may be made to have them picked up.
